Unit inspections with the photos, the checklist and the proof.

Every unit is a site under its owner, with yearly and move-out inspections that come due on their own. Your inspector works through a checklist with required photos, or the resident captures it in an app, and the owner gets a signed PDF and one link to every file.

Rental housing inspections

Every unit, every inspection, on one list

Set up the owner or the property as a customer and each unit as one of its sites, with its own address, access notes and contact. Units kept as sub-customers in QuickBooks come in as sites through the QuickBooks import.

A yearly or twice-a-year inspection is a recurring job on the unit, due in the month you choose. Move-in and move-out walk-throughs are one-time visits the office books when a lease starts or ends.

A checklist the inspector can’t skip

Build an inspection template with the steps you walk every unit: a photo of each room with directions and an example picture, a short video where it helps, and a checklist where every line is pass, fail or N/A, and a fail needs a note. Your inspector opens the visit in the crew app and captures it on the spot. See inspections for everything a template can ask for.

Pictures come from the camera only, with GPS and the time on each file and anything odd flagged, so a photo from last year’s walk-through can’t stand in for today’s.

Proof the owner can open

The office reviews each item, accepts it or asks for it again, and then builds a signed package: a PDF of the whole inspection and an expiring link to every photo and video, ready to send to the owner. When you want the resident to do the capture, for a move-in condition report or a quick check between visits, they follow the same steps in the Sentra Inspect app with an ID and password you email them.

Residents can get a booking email, a reminder the day before and an On my way email from your customer updates, and the visit can close with a signature on the inspector’s phone.

Why it fits

Units as sites

Each unit under its owner or property, with access notes and a contact.

Yearly and move-out visits

Recurring inspections due in their month; move-ins and move-outs booked as they come.

Pass, fail or N/A

A checklist line per item, with a required note on every fail.

Camera-only photos

GPS and time on each file, so old pictures can’t be passed off as new.

Resident self-inspections

The same template in the Sentra Inspect app, with an ID and password you send.

A signed PDF for the owner

Reviewed by your office first, with one expiring link to every file.

Common questions

Do you score HUD or NSPIRE inspections?

No. There’s no HUD or NSPIRE scoring or form. You write your own checklist in a template, line by line.

Does the reminder email count as a notice of entry?

No. The booking and reminder emails tell the resident when you’re coming, but they aren’t a legal notice of entry. Send that the way your state requires.

Can the owner record a result on the link?

The owner can open the link, watch the videos, download the PDF and check the files haven’t changed. The result buttons on that page are written for building departments, so use the PDF for owners.

Does it handle rent, leases or repair billing?

No. Sentra Scheduler schedules and records the inspections. Rent, leases and billing for repairs found stay in your property management system.

Is the Sentra Inspect app in the stores?

It’s on its way to the App Store and Google Play. Inspectors can already capture inspections in the crew app.
