Crews clock in on their phone. You approve the week and bill the hours.
Technicians clock in, take breaks and clock out in the crew app. Travel and on-site time come from the visit steps they already tap. The office checks each week, with overtime worked out, approves it, downloads payroll, and sends approved hours to QuickBooks Desktop as invoices.
Why it matters
Paper time cards come back on Friday with rounded numbers, nobody can say how long the crew was really at each building, and the hours you bill by never quite match the hours you paid.
In practice
- A window cleaning company. Storefront glass is billed by the hour. The crew of two spends 1 hour 20 minutes at a bakery; once the week is approved, the bakery’s invoice shows 2.75 hours at the hourly rate, rounded up to the quarter hour.
- An HVAC company. A technician forgets to clock out after a late call. The clock closes the shift at the end of the crew day, flags it, and the office corrects it with a reason before approving the week.
How it works
Clock in
From the crew app’s Today screen. The phone saves where they were, and the punch still counts with no signal.
Work the visits
On my way starts travel time, On site starts time on the job, Done ends it. Nothing extra to tap.
Review the week
Hours per day with overtime and double time, and flags for missed meals, far-away clock-ins and forgotten clock-outs.
Approve, pay and bill
Approve the week, download the payroll CSV, and export the approved hours to QuickBooks Desktop as invoices.
Key features
Clock in, breaks, clock out
One card on Today, with meal and rest breaks, a meal-due reminder and today’s hours.
Visit time from the steps
Travel and on-site time per visit, for everyone on the crew, from On my way, On site and Done.
California overtime
Over 8 hours a day and 40 a week, double time over 12, and the 7th day in a row. Or federal weekly overtime.
Flags, not blocks
Missed meals, short rest breaks, clock-ins far from the yard and clock-outs the system made are flagged for the office.
Edits with a reason
The office fixes a missed punch or a visit’s time; every change keeps who, when and why.
Weekly approval
Approve one person or the whole team. An approved week is locked for payroll and billing.
Payroll CSV
Regular, overtime and double time per person per day, to hand to your payroll service.
Invoices for QuickBooks Desktop
Approved hours × the job’s hourly rate, or the flat price per visit, one invoice per customer per day or week.
Works without signal
Punches and visit steps are saved on the phone with the time they were tapped and sent when it’s back online.
Common questions
Is it on for every company?
It’s off until an admin turns it on in Company setup. Then the crew app shows the clock and visit steps record time.
Do technicians have to use crews?
No. A technician working alone gets their own visit time; on a crew, everyone on the crew day gets the visit’s time.
Does it stop someone clocking in from home?
No. The location is saved and a far-away clock-in is flagged for the office, but a punch is never refused.
Is the overtime math legal advice?
No. It applies the California or federal rule you choose to the hours recorded. Check your pay rules with your payroll provider or adviser.
Does it run payroll?
No. It gives you a payroll CSV of approved hours. Pay stays with your payroll service.
Do technicians see pay or prices?
No. They see their own hours, breaks and visits, never rates or invoice amounts.
