A house cleaning schedule customers can count on

Regular cleaning customers stay for the consistency: the same people, the same day, a home that looks the same every time. Here is how to keep that promise as you grow.

A residential cleaning company is built on regulars. Weekly, every-other-week and monthly homes are the base of the business; deep cleans and move-outs fill the gaps. A house cleaning schedule that works keeps the regulars on their day with their crew, and lets everything else fit around them without the office rebuilding the week by hand.

The same crew, the same day

Customers who let you into their home want to know who is coming. Consistency is also how a crew gets faster: the second visit to a home takes less time than the first, and the tenth less than the second, because they know where everything is. Keep each regular home with one crew and one day whenever you can, and treat changes as exceptions, not routine. When you add a new customer, put them on the day and crew that already cover their area. A schedule that moves people around to fill gaps saves an hour on paper and loses a customer in practice.

Weekly, every other week, monthly

Each home’s rhythm is part of what you sold. In Sentra Scheduler each regular home is a recurring job: weekly, every 2 weeks or monthly, with hours, crew size and price per visit. Weekly and every-other-week visits come due within their week, Monday to Sunday; every other week counts from the week the job starts, so it never slips onto the wrong week after a holiday. Set a default crew and a preferred day on the job so visits go to the people who know the house.

A quarterly deep clean at the same home is a second job with its own months and price, so it lands in the right week without anyone remembering it.

Get in without calling

Lockbox codes, alarm codes, the dog that shouldn’t go outside and the room to skip all belong on the home, not in the crew lead’s memory. Each site has its own access notes, and the crew sees them on the visit before they knock. When the code changes, change it once on the site.

Tell customers when

Most customers aren’t home, but they want to know when you’ll be there. Each scheduled visit carries an arrival window, like 8–10 AM. Sentra Scheduler can email a booking confirmation, sends a reminder the day before, and lets the crew tap On my way. The emails come in English and Spanish templates you can edit, and the request form and chat work in both languages too. See Spanish customer communication for more.

Build the day around drive time

A cleaning crew might do four or five homes a day, so the drive between them matters as much as the work. On the schedule, each crew day has its people, a vehicle and a start time; drop the week’s visits onto it and Sentra Scheduler leaves time to drive from the last home, plans around lunch and warns when the day runs past the crew’s hours. If one home runs long, push the rest of the day back in one step and check which arrival windows are now at risk.

Proof of a good clean

A quick after photo of the kitchen and bathrooms settles most “did they come?” questions before they’re asked. Require them at close-out on the job type, add a short checklist if your service has one, and the visit can’t close without them. For move-outs and short-term rentals, the same idea goes further; see the turnover cleaning schedule guide.

When a customer changes their plan

Customers move from weekly to every other week, add a deep clean before a holiday, or pause for a month while they travel. Make the change on the job, not on individual visits. In Sentra Scheduler, untouched future visits follow the job when it changes; visits already scheduled or worked on are kept and flagged so the office can decide. A paused job stops making visits until it’s active again, and a one-off extra clean is simply a separate visit on the same home.

Keep a note of why the plan changed in the job’s scope notes. The next person to look at the customer will understand the history without calling anyone.

What isn’t there

To be straightforward: Sentra Scheduler doesn’t send text messages to customers, take payments or tips, or let customers pick a time slot online. Customers request service from the button on your website, by email or by phone, and the office schedules it.

A checklist

  1. Each regular home on one crew and one day.
  2. Weekly, every-other-week and monthly set once per home.
  3. Access codes on the home’s access notes.
  4. An arrival window and a reminder the day before.
  5. After photos required to close.

That is a house cleaning schedule customers can count on. See how it fits a cleaning business on the cleaning crews page.
